Smart branding and preparation make all the difference at Virginia retail pop-up events in 2025.

Retail Pop-Up Shops: How to Use Events to Expand Your Brand in Virginia (Even When Attendance is Down)

By Kaycee J. McCoy, Owner of Create/Captivate & Longtime Pop-Up Event Pro

Pop-up shops used to be a guaranteed way to meet new customers, make quick sales, and get your name out there. But let’s not sugarcoat it… event attendance in 2025 is waaaaaaay down.

People are tired. They’re picky. They’re not spending like they used to. So if you’re still going all-in on every vendor event or market without a clear plan? You’re going to feel burnt out fast.

But here’s the truth: pop-ups still have power! You just need to approach them differently. It’s not about going to more events. It’s about showing up smarter at the right ones.

Let’s talk about how to make retail pop-ups worth your time, energy, and investment, especially across Virginia markets like Norfolk, Virginia Beach, Richmond, Williamsburg, and beyond.

Be Picky on Purpose

Gone are the days when “say yes to everything” was the move. Now? Selectivity is strategy.

Ask yourself:

  • Is this event aligned with my target audience?

  • What’s the event’s marketing plan? Are they promoting vendors?

  • Have past vendors had a good turnout or strong sales?

  • Is there foot traffic from people who want to shop, not just browse?

💡 I always tell vendors: don’t just look at the vendor list, ask about the audience. It’s about who’s coming through the door, not just who’s setting up next to you.

Plan Like It’s a Campaign

Treat every pop-up like a mini launch. One table at one event is never just about that day. It’s about the before, during, and after.

Before:

  • Promote it everywhere: your website, Instagram bio, email newsletter, and pinned posts

  • Create countdowns and behind-the-scenes prep content

  • Invite your audience to come say hi (make it a moment!)

During:

  • Create a space that stops people in their tracks

  • Offer something interactive or photo-worthy

  • Collect emails or phone numbers (with a fun incentive!)

  • Use QR codes for easy product access or social follows

After:

  • Post a recap, thank attendees, and tag other vendors

  • Highlight bestsellers or funny event moments

  • Send a follow-up email to new leads with a discount or thank-you gift

💡 Your pop-up isn’t just a day, it’s a whole brand moment. Milk it for all the visibility it’s worth.

Make Your Table Pop (Visually and Emotionally)

The days of tossing your products on a table and calling it a day? Over. People are overstimulated and underwhelmed. You need to give them a reason to stop scrolling and start engaging.

Key elements to level up your table:

  • Branded signage: Yes, even on a budget. Canva and your local print shop are your friends.

  • Clear product pricing + info: Don’t make people guess.

  • Eye-catching tablecloth + backdrop: Stick to your brand colors for consistency.

  • One small “WOW” factor: Think fun packaging, a giveaway wheel, or even a free sample.

  • Smiles + warmth: No one wants to approach a vendor who looks checked out.

Collaborate with Fellow Vendors

Events feel less overwhelming when you see them as networking opportunities, not just sales booths. Vendors are often your best referral sources.

  • Trade business cards and social tags

  • Do Instagram story shoutouts before/after the event

  • Follow up with a thank-you DM or feature them in your post-event recap

💡 Brandon from Norfolk Candle has built a whole community just from vending and cross-promoting with nearby booths. People remember that. Follow in Brandon’s genius footsteps!

Capture the Moment

Don’t leave content creation up to chance. Even if sales are slow, a well-branded post can keep your visibility alive for weeks after the event.

Content ideas:

  • A time-lapse of your setup

  • A video “tour” of your table

  • A Reel introducing yourself and what you’re selling

  • Snippets of customer reactions or FAQs

  • Shoutouts to the market host or other vendors

💡 Even if event sales are underwhelming, one viral post can drive traffic to your e-comm site or storefront. Keep playing the long game!

Build Relationships (Not Just Transactions)

If you only show up to sell, people feel that. If you show up to connect, people remember you.

  • Ask questions about what customers are looking for

  • Share your story… why you started, what sets you apart, etc

  • Offer a small freebie or business card with a QR code to your Instagram or email list

  • Let your brand personality shine (music, signage, your outfit—all of it!)

💡 People want to support people. Be a whole person at your pop-up, not just a business name behind a table.

Wrapping It Up

Pop-ups in 2025 aren’t just about selling products…they’re about creating experiences, building brand awareness, and collecting community.
