Running a business in 2025? It’s no joke. Between content creation, client management, branding, bookkeeping, social media, and somehow remembering to eat lunch, it’s A FREAKING LOT.

I’ve tested a heap of tools over the years (bless the free trials), and let me tell you: the right business resources can be a game-changer for your sanity and your growth.

Whether you’re solo like me (at C/C) or leading a small but mighty team (like me at Pawsnickety Pets), here’s a roundup of my all-time favorite business tools that make entrepreneurship feel a little less chaotic and a whole lot more doable.


🧠 Project & Team Management

Asana
This is the brain behind both Create/Captivate and Pawsnickety Pets. At Pawsnickety, each team member has their own “Project” where we assign tasks and keep everything clear and organized. At C/C, now that I’m a solo act, I’ve got one “Kaycee Projects” board with every client and brand broken out into their own task sections. It keeps my chaos semi-contained.

Voxer
My go-to for real-time team communication. We’ve got a full team chat, a marketing crew chat, and separate ones for every event we’re hosting or participating in. It’s basically walkie-talkie magic, and it’s saved us so many headaches.


✍️ Content Creation & Copywriting

Grammarly
Helps me make sure I don’t embarrass myself with typos in client copy or Insta captions. Enough said.

ChatGPT
I use it to brainstorm, break through content blocks, and whip up starter drafts, but everything still goes through the Kaycee filter before anything gets published. It’s like having a brainstorming buddy who never sleeps.


🎨 Design & Visual Tools

Canva Pro
I use this for almost everything including social graphics, blog graphics, and event flyers. It’s fast, intuitive, and brand-friendly. Canva is my creative playground. Classically trained graphic designers might hate me for that, but for those of us who are self-taught, Canva is a lifesaver.

Photoshop Express
For quick and dirty photo edits on the fly. Perfect for mobile-based tweaks when I’m posting to social and need a glow-up.

Freepik
Need a killer icon, vector, or creative asset? Freepik is chef’s kiss! It’s such a great source for illustrations, mockups, and more when I need to zhuzh up content.


💻 Website & E-Commerce

Shopify
This is what runs Pawsnickety Pets’ online store and it’s been rock solid. It’s user-friendly, customizable, and handles all the e-comm bits like a boss. It’s on the pricey side of things, so if you’re going this route you’ll need to be confident in your business and marketing plans.

WooCommerce
If you’re running a WordPress site and need an online shop, Woo’s not a bad option. It’s more hands-on, but if you like control, it’s yours.

InMotion Hosting
My preferred website hosting platform. It’s fast, secure, and their customer service has been a life-saver more than once.


📣 Social Media & Marketing

Meta Business Suite
It’s clunky sometimes, but it’s a means to the end kind of thing for me. If I ever get a chance to bend Zuck’s ear about his platform, I’ve got a heap of grievances to air.. but, on the flip side, his platform is what helped soft launch my entrepreneurial journey so there would be a little gratitude tossed in that convo, too.

Metricool
MY FAVE. It’s hands-down the best platform I’ve found for content planning, scheduling, analytics, AND reporting. And yes, I have an affiliate link because I believe in it that much.👉 Try Metricool with my affiliate link

QR-Code Generator
I use this for events, pop-ups, and even in-store signage at Pawsnickety. It’s perfect for connecting people with content, order forms, or review links instantly.


🛍️ Email Marketing

Klaviyo
If you’re running an e-commerce business this is the one for email marketing. I use it at Pawsnickety to manage our marketing list, abandoned carts, customer journeys, and promos. It’s built for B2C.

Mailchimp
For my B2B crew, Mailchimp is solid. Easy-to-use, integrates with just about everything, and the templates make sending regular emails a breeze.


🧾 Time & Workflow Tools

Acuity
This is how I book consulting sessions with clients. If you want a scheduler with built-in forms, automatic confirmations, and payments, it’s a dream. Great for coaches, consultants, and creatives.

Clockify + Toggl
These are both great for tracking time, especially when I need to review how long projects are actually taking. (Spoiler: sometimes it’s twice as long as I or a team member thinks.)

Zapier
My behind-the-scenes automation wizard. If you want to connect tools without coding, Zapier does it. I use it for email triggers, form responses, and even to move leads through my pipeline without me lifting a finger.

Typeform
For surveys, client intake forms, and workshop feedback. Typeform makes everything look so clean and user-friendly. Your audience will actually want to fill it out.


Final Thoughts

The truth? You don’t need to use everything on this list. Start small. Pick one or two tools that solve a problem you’re facing right now. Build from there.

Tools won’t run your business for you, but they will help you run it better. And when your systems flow? Your creative energy has space to breathe.
