Holiday Marketing Starts Now: How to Prep Your Small Biz for Q4 Success
by Kaycee McCoy, Owner of Create/Captivate & Professional Holiday Marketing Hype Woman
Okay, friends, let’s be real. If you’re still waiting until Halloween to plan your holiday marketing, you’re basically showing up to the party after the cookies are gone and the lights are unplugged.
As someone who’s spent years helping small businesses and nonprofits plan for Q4, I can tell you this: the earlier you start, the smoother things go. And yes, August is the perfect time to start prepping for holiday magic.
Here’s how to set yourself up for a joyful, strategic, and stress-less season.
Reflect on What Worked (and Flopped) Last Year
Before you start dreaming up peppermint-themed graphics or email headlines with sleigh bells in them, hit pause. Let’s rewind to last year.
-
What promotions or events brought in the most sales or engagement?
-
What emails got opened (and which ones tanked)?
-
Did you run out of time or energy to do the things you really wanted?
💡Pro Tip: Dig into your insights now so you’re not repeating last year’s overwhelm. Pull your sales reports, check your email open rates, and read through your past social captions. Find what worked (and what didn’t) so you’re not starting from scratch.
Pick Your Focus (You Don’t Have to Do It All)
The biggest mistake I see? Trying to do all the things. Multiple sales, giveaways, daily posts, pop-ups, email blasts… and by mid-December, you’re running on caffeine and chaos.
Choose your Q4 marketing focus:
-
Hosting a holiday market or pop-up?
-
Running a special offer for Black Friday/Cyber Monday?
-
Doing a gift guide campaign?
-
Promoting your year-end fundraising goal?
Pick one or two big goals and build your campaigns around that. Simpler is stronger.
Start Building Your Content Calendar
You don’t need to know exactly what every post will say right now, but you do need a roadmap.
Here’s what to sketch out:
-
Major dates you’ll be promoting (events, sales, deadlines)
-
Weekly content themes (gift ideas, behind the scenes, team picks)
-
Email sends & topics (start with 1-2 per week during Nov/Dec)
-
Evergreen posts that can be created ahead of time
💡Pro Tip: Don’t forget shipping cutoffs! Add USPS/UPS deadlines into your calendar now so you can communicate them clearly in your marketing.
Prep Graphics, Captions & Templates Early
Once you’ve got your rough plan in place, start batching your content. Create graphics, Reels, Stories, and email headers now so you’re not glued to your laptop on Thanksgiving.
If you’re not design-savvy, this is a great time to bring in help (hi!) or invest in some pre-made templates on Canva.
💡Pro Tip: Build a “Holiday Content Hub” in your Google Drive or Asana so everything’s ready to go when the season hits.
Consider a Holiday Photoshoot
If you sell physical products or want to lean into a seasonal vibe, this is the time to get your holiday visuals on lock.
Even just a mini content shoot with cozy backdrops, gift wrapping, or festive props can take your marketing from blah to bam. And if you’re local to Hampton Roads or Richmond and need help with branded content, you know I’ve got you.
Warm Up Your Audience NOW
Think of August and September as your “pre-game.” You don’t have to scream SALE! yet—but you do want to start reconnecting with your audience.
-
Share BTS of your holiday planning
-
Run a poll about gift shopping habits
-
Start teasing upcoming products or services
-
Highlight customer favorites from last year
Example: “Our holiday bestsellers are BACK! Which one do you want to see first?”
People who feel involved early are more likely to shop or support when the time comes.
Automate What You Can
You don’t have to be glued to your screen in December. Schedule ahead where possible:
-
Use Meta Business Suite or Metricool (my fave) for social media
-
Schedule emails through MailChimp or Klaviyo
-
Automate your customer follow-ups or abandoned cart emails
-
Set up a chatbot for FAQs on your site (especially around shipping & hours)
Let your tools do some of the heavy lifting so you can actually enjoy your holiday season.
Bonus: Collaborate with Other Small Businesses
Holiday collabs are a fun and low-budget way to boost visibility and share the love. Think:
-
Co-hosted giveaways
-
Gift bundles from local makers
-
Joint in-store events or Instagram Lives
-
Tag swaps on social or cross-promotion in newsletters
💡Pro Tip: Start reaching out to potential partners now while their calendars are still open.

The secret to a strong Q4? Start in Q3.
Holiday marketing doesn’t have to be overwhelming if you take it step by step—and start now. Build your content strategy, prep your visuals, and warm up your audience so that when it’s go-time, you’re focused, festive, and ready to shine.
