Creating Instagrammable Moments at Your Event: A Guide for Small Businesses
by Kaycee McCoy, Owner of Create/Captivate & Retail Events Obsessor
Alright, real talk…if people aren’t snapping photos and tagging your business during your event, you’re missing a huge marketing opportunity.
These days, marketing magic happens in real time on social media. And when your event has “Instagrammable” moments built in, you’re not just creating a vibe—you’re creating viral visibility.
Let’s break down how to design those share-worthy moments at your next small business event so your brand gets noticed, loved, and remembered.
What Makes Something “Instagrammable” Anyway?
It’s not just about having a pretty background (though yes, that helps!). A truly Instagrammable moment is:
-
Visually striking
-
Emotionally resonant
-
Easy to capture & share
-
Aligned with your brand’s aesthetic and message
Think of it as strategic storytelling through visuals. You’re giving your guests a reason to pull out their phones—and helping your brand get shared without spending a dime on ads.
Step 1: Choose a Photo-Worthy Focal Point
You don’t need to rent a flower wall or drop $$$ on a pro install (unless you want to 😉). You just need something intentional.
Try one of these:
-
A branded backdrop with your logo or event theme
-
A themed flat lay or product display
-
A balloon arch or neon sign with a fun quote
-
A DIY selfie station with props
-
A statement wall (murals, greenery, shelves of your best-sellers)
💡Example: For Pawsnickety Pets’ in-store events, we’ve used chalkboard signs with pet puns and plush display pyramids. People LOVE taking pics with their pets in front of them—and we get tagged every time. 🐾
Step 2: Infuse Brand Personality
Make sure your Instagrammable moment feels like your brand. Use your signature colors, fonts, and tone of voice in signage and design.
Are you bold and sassy? Make your display cheeky.
Are you calm and luxurious? Think soft textures and neutral tones.
Are you fun and playful? Go wild with color and quirky props.
💡Pro Tip: Canva is your best friend here. You can create a cohesive vibe across signs, menus, flyers, and social content that ties everything together.
Step 3: Think About Lighting + Layout
Nobody wants to post a dimly lit photo. Give your guests good light!
If you’re indoors:
-
Use ring lights or clamp-on lighting
-
Set your photo station near natural light (windows!)
If you’re outdoors:
-
Avoid direct overhead sun (harsh shadows)
-
Add branded umbrellas or tents to soften the light
Also, make sure there’s space around your focal point. If people have to squeeze past your display to get a pic, they probably won’t.
Step 4: Prompt People to Share (and Make It Easy!)
Even if your setup is gorgeous, people need a little nudge to post. So give them clear direction!
-
Add a cute sign that says something like:
“📸 Snap a pic! Tag us @yourhandle & use #YourEventHashtag” -
Offer a prize or incentive:
“Share your photo and tag us for a chance to win a $25 gift card!” -
Have team members encourage it:
“Want us to take a photo for you? We’ve got the angles!”
💡Pro Tip: Create a custom event hashtag and make it visible everywhere—from table signage to banners. This makes it easy to find and reshare your attendees’ content.
Step 5: Capture Your Own Content
Don’t rely only on your guests for content. Designate someone to take behind-the-scenes photos, guest candids, and shots of your Instagrammable moments in action.
You can use this content later for:
-
Reels & stories
-
Post-event recaps
-
Future event promos
-
Your website or email marketing
If you don’t have a team, set up your phone on a tripod or hire a content creator.
Step 6: Follow Up & Reshare
After the event, go into your tagged posts and hashtag feed to find what people shared. Like, comment, and thank them for coming. Reshare their content to your Stories or even in a post-event carousel.
This extends the life of your event, builds connection, and shows people you’re paying attention (which is gold for your brand).
Wrapping It Up
Creating Instagrammable moments at your event isn’t about being trendy—it’s about being strategic. You’re turning every guest into a brand ambassador by giving them a beautiful, meaningful moment to share.
And in a world where visibility is everything, that kind of organic reach? Priceless.
